Complaints and Procedures If a member of Dtail is found to be in breech of the above code of practice or if a complaint is received by the members of the Dtail board of Management then the Board of Management will initiate an investigation using the following procedures: • If a complaint is received by way of a telephone call to any Member of the Dtail board of management the complaintant will be ask to submit the complaint in writing. On receipt of this complaint in writing the board will acknowledge this within 7 days. • If the complaint is found to be not in breech of the Dtail Guidelines then the complaint will go no further and the person initiating the complaint will be notified. • If however, based on the initial complaint it is felt that an investigation is warranted both parties (the person initiating the complaint and the person or group whom the complaint is being made against) will be asked to write into the Dtail board of management giving full details inc: date, time any witness to the complaint and the excat nature of the complaint. • Based on receipt of this information it will then be decided by the Dtail board of management as to how we will proceed. Both parties will then be notified as to the next course of action if any. • At this stage either the Director of the Dtail or the board of management may decide to interview either party or to visit the premises were the alleged incident took place. • Upon completion of the initial investigation and if it is found that there is insufficient evidence to proceed with the complaint then the complainant will be notified and the file put away until further evidence is received. The complaint will be held on file for 60 days and if after this time no further evidence is brought to the attention of the board the file will then be closed and all parties notified. • If however it has been found that a member of the Dtail is in breach of the Dtail code of practice then a member or group will be notified in writing of the outcome and given 30days to respond. This first letter will be sent out by registered post. • If after 30 days a member or group fail to respond then a second letter will be sent by ordinary post advising the member or group that they now have 14 days to respond. If after 14 days there is no response then the group or member will have their membership revoked without the return of membership fees. • If after all investigative procedures have been carried out to the satisfaction of the Dtail board and the member or group whom the complaint was made against has been found to be in breach of the Dtail guidelines and if they have failed to respond to the satisfaction of the Dtail then not only will they have their membership revoked but they also will be removed from the Dtail directory of dog trainers.
